How to convert a PDF table to Excel
1. Add your PDFs
- Drag PDF files onto the converter area, or click Choose files from your computer.
- You can add several files at once. Only files ending in
.pdfare accepted. - For a password-protected PDF, a password box appears. Enter the password you use to open the file. PDFs whose password you don't know cannot be converted.
2. Choose options
| Option | Choice | When to use it |
|---|---|---|
| Sheets | One sheet per page | Each page holds a different table |
| Combine into one sheet | A long table running across pages (statements, transaction lists). Header rows repeated on every page and page numbers are removed | |
| Formatting | Keep original formatting | You want it to look like the PDF (widths, fonts, colors, borders) |
| Values only | You plan to sort, filter or pivot the data |
With either formatting option, numbers and dates are written as values you can calculate with.
3. Check the preview
- Each file shows a status such as "Done · 2 tables". Click a file in the list to see its Excel preview below.
- The preview shows only the first rows; the downloaded file contains every row.
- If columns are shifted, the PDF's table structure is the likely cause. See Why PDF tables break in Excel.
4. Download
- One PDF: click Download Excel file.
- Several PDFs: choose
- Download as ZIP — one Excel file per PDF, bundled in one ZIP, or
- Download as one file — one Excel file with a sheet per PDF (sheet name = PDF file name).
- Files with errors and scanned files are left out.
5. Check the result
- If the table has a total, sum the column in Excel and compare it with the PDF. → How to check a converted table
- A small green triangle in a cell's corner means Excel sees that number as text. → Fix numbers stored as text
What the status messages mean
| Message | Meaning | What to do |
|---|---|---|
| Scanned (image) PDF, cannot convert | Text is stored as a picture | Ask for a PDF saved directly from the original program |
| No readable text | Blank page, or text drawn as shapes | Same as above |
| Broken text information | The creating program didn't store text properly | Save the PDF again from the original |
| No table shape found; text placed line by line | Column boundaries aren't clear | Check columns in the preview |
| File is damaged or not a PDF | Corrupted file, or only the extension is .pdf | Download the file again |
